Keeping your information up to date: It’s important that the personal information we hold about you is accurate and current. Please let us know of any changes by emailing samsnailtraining@gmail.com.

2) What data we collect & why

“Personal data” means any information capable of identifying an individual. We may process:

  • Communication Data (messages you send us via forms, email, SMS, social media). We process this to reply, keep records, and establish, pursue or defend legal claims (legitimate interests).
  • Customer Data (name, email, phone, billing/booking details, payments). We process this to supply services you purchase and keep transaction records (contract performance).
  • User Data (content you submit; how you use our website/services). We process this to operate the website, keep it secure and ensure relevant content (legitimate interests).
  • Technical Data (IP address, browser, time zone, page views, navigation paths, session length, device). Source: analytics. We process this to administer/protect our site, deliver relevant content/ads and understand effectiveness (legitimate interests).
  • Marketing Data (your marketing preferences). We process this to run promotions and deliver relevant content/ads (legitimate interests or consent).

We may combine Customer, User, Technical and Marketing Data to deliver relevant content/ads and measure performance (legitimate interests) or to send marketing (consent or legitimate interests). We do not collect “Special Category” data (e.g., health, ethnicity) and do not carry out automated decision-making or profiling.

Where law or a contract requires data and you don’t provide it, we may be unable to perform the service (we’ll notify you if so).

3) How we collect your data

  • Directly: forms, emails, enquiry/booking details, downloads.
  • Automatically: cookies and similar technologies as you browse the site.
  • From third parties: analytics (e.g., Google), advertising networks (e.g., Meta), payment and technical providers, and publicly available sources (e.g., Companies House, UK Electoral Register).

4) Marketing communications

Our lawful basis to send marketing is your consent or our legitimate interests (to grow our business). Under PECR, we may email you if you’ve requested information or purchased from us and haven’t opted out.

You can opt out any time via the link in our emails or by emailing samsnailtraining@gmail.com. Opting out of marketing doesn’t affect service communications (e.g., booking confirmations).

We will seek your express consent before sharing your data with any third party for their own marketing.

5) Disclosures of your personal data

We may share personal data with:

  • Service providers (IT, hosting, analytics, payment, email).
  • Professional advisers (lawyers, bankers, auditors, insurers).
  • Government or regulatory bodies where required by law.

We require third parties to respect data security and treat your data according to law, processing it only on our instructions and for specified purposes.

6) Data security

We use technical and organisational measures to protect your personal data from loss, misuse, unauthorised access or disclosure. Access is limited to those with a business need and under confidentiality.

We have procedures for suspected data breaches and will notify you and applicable authorities where legally required.

7) Data retention

We keep personal data only as long as necessary for the purposes collected, including legal/accounting/reporting requirements.

For tax purposes we keep basic customer information (Contact, Identity, Financial and Transaction data) for six years after you cease being a customer. We may anonymise data for research or statistics and use it indefinitely without further notice.

8) Your legal rights

Under data protection laws, you have rights including: access, correction, erasure, restriction, transfer, objection, data portability, and (where processing is based on consent) withdrawal of consent.
